12 tips to dictate faster than typing

The first days with dictation feel odd. These habits take you from "talking to your computer" to "writing four times faster."

We speak about 150 words per minute and type, on average, around 40. Theoretically, dictation is nearly four times faster. In practice, the first days are awkward: you don’t know exactly what to say, you stop, you look at the text. Here are the habits that make the difference.

Before you speak

1. Think in phrases, not single words

You don’t have to have the whole email in your head, but it helps to know where you want the sentence to go. AI dictation forgives hesitations, but the text comes out better when the idea is clear.

2. Start with short messages

Replies on Slack, WhatsApp, comments. You’ll build confidence in a few days, then move on to emails and documents.

3. Choose your mode: hold down or hands-free

For a sentence, hold Ctrl+Win while you speak. For longer text, press once briefly, speak freely, press again at the end. That way you don’t keep your fingers tense on the keys.

While you speak

4. Talk like to a colleague, not a robot

No need to enunciate syllables or pause between words. A normal conversational pace gives the best results.

5. Don’t dictate punctuation

Commas, periods, and question marks appear automatically. Only say “new line” and “new paragraph” when formatting matters.

6. Correct yourself on the go

Made a mistake? Say “no, I mean…” and continue. Zicelo keeps only the final version. You don’t have to stop and erase anymore.

7. List out loud

“Three things: one, ...; two, ...; three, ...” becomes a numbered list. Also “first step,” “second step.”

After you speak

8. Don’t reread word by word

Look instead at meaning, names, and numbers. If something important is wrong, fix it and add the word to your dictionary.

9. Use command mode for tweaks

Select the text and say “shorter,” “warmer,” “more formal.” It’s faster than rewriting a sentence manually.

10. Lost something? Alt+Shift+Z

If the text pasted into another window or the box closed, paste the last dictation again with this shortcut. Everything you dictated is also in history.

Long term

11. Build your shortcuts

Any text you write more than three times a week deserves a voice shortcut: signature, address, scheduling link, reply to “how much is shipping?”.

12. Set style by app

Formal in email, neutral in Teams and Slack, relaxed on WhatsApp. Once set, you don’t have to think about tone anymore.

Golden rule: if you catch yourself typing a text longer than one sentence, stop and dictate it. After a week, it becomes a reflex.
